PA State 4-H Fashion Revue Committee Job Descriptions
Chair: Coordinates State 4-H Fashion Revue During State 4-H Achievement Days at University Park
See that assignments are carried out. Conduct the planning meeting. Conduct the judges' orientation with the co-chair. Prepare and conduct the orientation of participants. Answer questions and handle any problems that occur. Keep the program schedule running smoothly. Assist committee with staging, workshops, judging, rehearsal, and program. Meet with Eisenhower staff to set up lunch. Meet with media. Open fashion revue program Wednesday evening. Assist with presenting awards. Keep a running record of fashion revue activities and problems. Notify committee of evaluation meeting after revue. Conduct evaluation meeting. Prepare a list of committee recommendations for the next year's chair. Develop and tabulate participants' evaluation of fashion revue. Return supplies to state office. Orient winners for Thursday morning's awards ceremony. Submit all receipts to State 4-H Staff before returning to county.Co-chair (Professional Judging)
Select and prioritize list of judges; consult with committee and agents. Determine when judging can be scheduled and length of time each member has with judges. Review judging forms with committee members and make any changes. Obtain printed forms for judging and reimbursement from state office. Meet with judges and conduct orientation with chair the evening before judging day.
Review forms with judges. Review fashion revue philosophy with judges. Clarify travel arrangements with judges (transportation from hotel and back). Answer questions. Obtain reimbursement information from judges and give to State 4-H Staff. Set up the judging station. Assist judges and tabulation committee during the day. Clock the amount of time each member has with the judges. Double check tabulation results. Take results to awards committee before the evening fashion revue performance. Design stage with choreographer and narrations committee members by May 30. Obtain props or order materials for props from state office. Visit Eisenhower theater and/or meet with their staff to visualize staging. Secure volunteers to transport stage props and set them on the stage. Direct Eisenhower staff to position stage props and hang banners. Assist choreographer on stage with stage directions during the workshops and rehearsals. Secure (lock up) garments each night and open dressing rooms in the morning. Monday night dressing rooms need to be open from 6:30 p.m. to the start of the evening performance to allow participants to hang up their garments. Collect lost and found and bring it to 2B Ferguson Building. Return props after the revue. Submit all receipts to State 4-H Staff before returning to county. Choreograph movements, modeling, and finale. Coordinate staging with script developed by narrations committee. Tape music or hire pianist. Check with narrations committee to see how much music is needed for each group of garments. Make sure Eisenhower crew has line-up sheet. Collaborate with Eisenhower music crew before and during the day of the revue. Collaborate with Eisenhower lighting crew before and during the day of the revue. Conduct staging workshop/practice for 4-H members in small groups. Conduct rehearsal with stage manager. The narrations committee members do the job Ag Information once did - revising the narrations, training the narrators, and coordinating with the stage set, manager, and choreographer. One person works behind the podium and one in the audience during the revue. The narrations committee need to schedule at least three days of office work before the revue to complete the following tasks:
Set up narrators' practice and discuss line-up order with program committee member. Review narrators' needs. Request ribbons from state office for narrators, and place in county envelopes. Schedule meeting room for narrators. Review narrator's letter on the Web site. Receive narrations from regional chairs. Coordinate narration "breaks" in the revue with choreographer. Develop final line-up order. Send copies to committee via e-mail. Type narrations on computer in large print, revise them, and print on large index cards. Attach a ring to each set of 5" x 8" inch cards so that if cards are dropped, they won't be out of order. Make a duplicate set of cards and bring them to State 4-H Achievement Days. Train narrators and coordinate practices for narrators. Organize narrators to go through name pronunciations during lunch time. Coach narrators during review. Return narrations and narration forms to state office. Submit all receipts to State 4-H Staff before returning to county. Develop program with committee members. Plan several educational workshops. Contact the speakers to present workshops and notify state office of contacts and costs, lodging and meeting room set up. Obtain reimbursement forms for speakers and collect information from speakers for state office to process. Obtain needed AV equipment for speakers. On Tuesday afternoon, check each room for appropriate meeting set-up. On Wednesday morning, welcome presenters and check for their needs. Make sure 4-H members are rotating on schedule. Organize volunteer to take care of snacks and refreshments for the judges, man the lunch room and watch dressing rooms during the day. During Committee Meeting:
Review steps in tabulation. Practice tabulation using tabulation sheet and judging forms. Pay careful attention to parts of the form that are removed and used for evaluation purposes. Review how forms are to be packaged for counties and state office. Note that judges are requested to spread their scores. Note that scores are removed before judging sheets are put in county envelopes.At Revue:
Secure the needed forms and equipment for tabulation. Set up the tabulation area Tuesday afternoon. Coordinate with co-chair to tabulate the results of the revue. Double check and make sure each form has at least three judges' comments on it. If not, send it back to the judges right away. If scores are not spread out, notify the agent and leader in charge of judging. Certify the results of the revue with the co-chair. Compile the county envelopes and return to State 4-H Staff. Do not put registration forms or judges' forms in envelopes. Give to State 4-H Staff to review. Return equipment and unused forms to state office. Take award report form to 2B Ferguson Building. Assume responsibility for the theme and cooperate with other committee members so that it is carried throughout. Design fashion revue cover or locate one from a previous year. Secure local media coverage of the revue. Procure any banners for staging. During the judging, may be the volunteer. Can set up refreshments for judges and assume responsibility for dressing room security. Deliver programs to Eisenhower "front of the house" manager. Secure results of tabulation committee and write up publicity for state papers. Deliver to designated Ag Information staff Wednesday morning. Escort 4-H honors group through the photographic session Wednesday morning, providing names and descriptions of the garments to the photographer's assistant. Secure dressing rooms after 4-H honors group finish pictures and return lost and found to state office. Secure and return leftover programs to state office. Schedule committee meeting. Assist committee and chair with responsibilities. Compile packets for regional revues. Update materials. Answer agent questions on regional and state revue policies. Determine quotas from the past year's enrollment data. Revise fashion revue news and radio releases. Write program insert from information provided from narrations and program committee members. Negotiate program design cover costs and printing schedule with Ag Information staff. Double check to make sure judges were not involved in county or regional revues this year. Write formal letter of invitation to judges and workshop speakers. Arrange travel, lodging, and meals. Send schedules and maps. Invite past Congress winner to be present for awards and/or as workshop speaker. Make sure all forms are printed for judging and tabulation. Arrange for delivery of programs to Eisenhower. Secure local materials for fashion revue committee. Compile all fashion revue forms sent by the regional chairs. Call agents if forms are incomplete or late. Make sure narrations committee has a duplicate set of forms. Notify Youth Program Management Coordinator of needs for: photographs, lunches, program printing, ribbons, and awards. Meet with Eisenhower staff to outline needs and go over State 4-H Achievement Days schedule. Meet with assembly chair to make sure that song leading in, etc. are integrated with program. Assist at revue. Check out Eisenhower theater with staff. Process reimbursement forms and receipts. Write thank you notes to committee. Send out results and evaluation via e-mail. Request replacements for committee and schedule spring meeting. Notify Youth Program Management Coordinator of medal award request to be ordered for Honors Group (necklaces or tie tacks).
